Overview

Position: Accountant
Report to Finance and Administration Manager
Duration 6 months with 1 month of probation
Time 09:00 am – 05:00 pm

Job purpose

Accountant Is responsible for full charge bookkeeping, including maintaining Tai Tanzania financial records, monthly billing, billable time tracking and reports for review by the management team and outside certified public accounting firm. This includes, but is not limited to: administration tasks, accounts receivable and payable, payroll, payroll taxes, quarterly payroll tax reports, invoicing, personnel payroll records, paid time off tracking, weekly, monthly, quarterly and yearly organization reports, computer data entry of as well as working with the organization’s accounting firm and other items as needed by management.
Experience in QuickBooks (or Equivalent) and Microsoft Office products required.
The post operates in a team environment and will be expected to work in a collaborative way with Tai Tanzania staff, interns and volunteers. This internship is designed to be both educational and practical. In this position, the intern will learn how to use his or her knowledge and skills to develop and implement. This role presents an opportunity for an outgoing and organized person to gain experience on the field of finance and accounting.

Duties and responsibilities

1. Administer day to day finances and ensure the smooth running of the office

  • Ensure effective usage and accuracy in the recording of financial data in the accounting system

  • Assist in preparation of year-end audit

Qualifications

Specific requirements include:
  • Current or recent enrollment in a graduate or undergraduate degree program with an interest and aptitude to work in non-profit management fields;
  • Ability to prioritize tasks and handle numerous assignments simultaneously;
  • Exceptional written and oral communication skills
  • Personable, able to comfortably and pleasantly deal with a variety of people
  • Proficient in Microsoft Office, Microsoft Excel, and internet applications;
  • Work creatively with limited resources
  • Passion, idealism, integrity, positive attitude, mission-driven, and self-directed
  • Good general accounting experience; with sound debit and credit comprehension and
  • reconciliations experience
  • Strong knowledge and experience of accounting software packages

Position: Program Manager

Time 0800 – 1700 Monday to Friday

Job purpose

The program manager is responsible for the delivery of the output/product of the program, which will involve managing a portfolio of projects and programs. To coordinate the teams which are working on various projects. You will provide strategic guidance to teams and project managers in ways that promote the company’s culture.
You will also oversee the progress of operations.
The program manager must be an excellent leader and will have
experience in managing the staff of different disciplines to produce results in a timely manner. He/she must also be able to develop efficient strategies and tactics.

Duties and responsibilities 

1. Resource Mobilization:
  • Maintain regular contact with funding organizations and report on program activities in intervals mutually established between funder and Tai Tanzania
  • Take a leadership role in seeking out and writing funding applications to guarantee uninterrupted delivery of services.
  • Develop proposals for receiving funds and other in kind support
  • Follow up with fundraisers who are raising funds for the project
  • Take an active role in developing a financial sustainability model for the program/project.
  • Seek contracts and partnerships and spearhead the development of proposals
  • Design program/project that will create positive impact in the community and attract funding for sustainability.
2. Community Outreach and Engagement:
  • Maintain strong communication and partnership with funder(s)
  • Develop appropriate community partnerships and collaborations, and provide advice to the management related to the operationalization of those partnerships and collaborations
  • Develop and maintain partnerships with key stakeholders that share the mission of Tai Tanzania ie. Schools, other NGOs, private companies, supporters etc.
  • Analyze and mitigate risks.
  • Work with the communication team to develop communication and advocacy strategies for the program.
3. Operation Management:-
  • Ensure effective systems to track progress, and regularly assess program
    components, so as to measure successes that can be effectively communicated
    to the management, Board, funders, and other stakeholders
  • Develop, implement and regularly review and update relevant policies and
    procedures
  • Work with the Human Resources team to;-
  • Create and update a recruitment plan for the program team members.
  • Create and update plans and materials for the training and support of program team members in various roles.
  • Deliver, or ensure the delivery of; recruitment, induction/training, performance management and coordination of program’s team meetings.
  • Document and address volunteer and staff concerns
  • Develop opportunities for capacity building and personal development among program team members ie. volunteers;
4. Monitoring, Evaluation and Documentation/Reporting:
  • Produce accurate and timely reporting of program status throughout its life cycle as required – including weekly reports; monthly reports for the Board and funding organizations/sources; final reports for funding organizations/sources
  • In cooperation with the Treasurer, review and revise as needed the budgets and reporting for all operations of the program activities.
  • Ensure that all important events/moments are captured and be shared on all social media platforms of the organization.
  • Lead internal program evaluation activities and, where required, liaise with evaluation consultants
  • Ensure all records are available in the Google drive and that other team members can easily find them. Everything from contact numbers of teachers, teaching instructions, feedback forms etc.

Working conditions

Most of your work will be taking place in the TAI Office. But you are also expected to go to the locations where the project is taking place. I.e. schools, supermarkets, offices. You will also attend meetings with partners around the town. Work on weekends can also occur i.e. if there is an event taking place.

Job purpose

Strategic Communications Manager has a role to significantly enhance the national and global reputation of Tai Tanzania and its work by repackaging and/or commissioning content and information produced within the organization into strong communications products suitable for a national and global public audience. This role will be responsible for establishing, and disseminating, professional, high-quality editorial and content suitable for a variety of audiences (including both advocacy and fundraising target audiences), as well as leading on appropriate dissemination strategies from social media plan to press conferences and events.

Duties and responsibilities

Strategic communication and media (70%)
1. Creating and executing a communications strategy
  • Lead on the development of the strategic communications planner as a key organizational
  • Oversee the planning for all key communications moments; clarifying which should be focused on, defining levels of support and ensuring all have clear project plans that reach key audiences and maximize cross-organizational opportunities.
  • Effectively communicate plans and activities across all relevant teams.
2. Branding and media management
  • Lead on the creative development of key campaigns and activities, ensuring we reach target audiences in inspiring and compelling ways utilizing communications trends.
  • Oversee the creative development of all relevant projects, to ensure we tell the Tai story with impact.
  • Develop key messages for effective social media content.
  • Conduct brand audit semiannually and provide recommendation to strengthen the brand.
  • Oversee the continuous day to day media monitoring and provide proper documentation.
  • Engage mass audience using different public relations methods
3. Facilitating internal and external communications
  • Work with communication coordinators to prepare content for external communication.
  • Work with event manager to ensure

4. Advocating for organization key messages
  • Work with a events and campaign coordinator to deliver key messages through events
  • Working with Tai Studio Producer to develop and review episodes to align with organization strategic messaging.
  • Developing campaign strategy for all the organization campaigns.
Partnerships and fundraising (30%)
1. Establishing partnership with corporate companies, NGOs and coalitions
  • Develop proposal according to the need of the partnerships
  • Conduct sales meetings for establishment of
  • Create, implement and manage partnerships.
  • Manage information gathering and participate in networking activities in order to identify potential partners and fundraising opportunities
  • Search and research potential donors and foundations to evaluate potential funding sources
  • Make initial contact and follow up. Build and maintain profitable long-term relationships with potential donors and partners
  • Monitor the development of the partnerships and fund applications
  • Maintain critical stakeholders databases
  • Generate new ideas and business opportunities to increase fundraising and fund development to meet and exceed revenue goals
2. Managing organization fundraising activities
  • Establish an ongoing fundraising program to support the work of Tai in the future
  • Develop an annual fundraising plan and budget
  • Monitor online crowdfunding campaign set up by international volunteers and other stakeholders
  • Develop fundraising events plan and strategies to reach yearly target

Qualifications

  • At least 1-year experience as a volunteer
  • An understanding of video production process
  • Experience in working close with multiple partners
  • Recruitment skills with the ability to lead a team
  • Experience in facilitating meetings and trainings
  • Ability to work in a flexible environment
  • Good level of English written and oral
  • Strong partners engagement skills
  • Line management skills 

Working conditions

For the most the work will take place within the normal work hours and in the Tai Office with multiple movements in town for meetings with partners. This requires that you work closely with your team to get around town and that you are not afraid of getting around on your own.
